Overview
The inspections module supports routine checks for vehicles, plant, equipment, and site inspection types. It helps teams identify defects early, assign corrective actions, and maintain auditable records.
Site inspections are grouped under one menu entry so the sidebar stays short. From Site inspections you can start:
- MEWPs (LOLER every 6 months)
- Scaffold (fixed)
- Mobile towers and podiums
- Stepladders / Ladders / Hop Ups
- Excavations
- Temporary works
- Fire extinguishers and fire alarm call points
- Weekly harness inspections
- Other (company-defined types)
Weekly harness inspections record one harness at a time. Use Add another entry at the end of the checklist for the next harness. Edit the form from Inspection templates, the same way as the other inspection checklists.

Why It Matters
- Prevents minor issues becoming major incidents or downtime.
- Creates clear accountability for defect closure.
- Provides evidence of regular pre-use and periodic checks.
- Keeps site access and temporary works checks in the same place as vehicle and plant.
Step-by-Step Instructions
Create assets
- Add an asset type (vehicle, plant, equipment, or a site type).
- Enter identifier details (registration, serial number, location, or sub-type).
- For MEWPs, LOLER is required with a 6-month interval. Upload the certificate before inspecting.
- Assign ownership (team, site, or manager).
Add a custom “Other” type
Admins and supervisors with asset manage permission can add company-defined types from Site inspections → Add other type. Choose the name, optional LOLER flag, and which check frequencies apply. A short system checklist is seeded automatically and can be refined in Templates.
Build inspection templates
Include:
- pre-use checks,
- safety-critical checks,

- High/Critical: immediate action before continued use.
Corrective actions
- Assign action owner.
- Set due date.
- Add expected fix notes.
- Track open, in progress, completed states.
Scheduling inspections
Set recurring schedules by:
- asset type,
- risk profile,
- usage frequency,
- project needs.
Review inspections and export reports
Supervisors should review:
- failed items,
- unresolved high severity defects,
- repeat failure trends,
- LOLER register entries for MEWPs and other lifting assets.
Export PDF reports for records, client reporting, and audits.
Tips & Best Practices
- Keep templates role-specific and easy to complete in under 10 minutes.
- Require photos for medium/high severity defects.
- Run weekly review meetings for open corrective actions.
- Use custom Other types sparingly so the register stays easy to filter.
Warnings / Important Notes
- Do not continue use of assets with unresolved critical defects.
- MEWPs cannot be inspected until a current LOLER certificate is uploaded.
- Avoid vague defect descriptions; include exact location and symptoms.
- Ensure signature completion for legal defensibility.
